Taking the time out of timesheets

When you work with Healthcare Australia, you don’t have to spend hours reconciling timesheets, fiddling with loads of paperwork and chasing invoices anymore.

It can all be done with a few simple taps on your mobile phone. The eHCA app makes it all simple and easy. You can authorise shifts with a PIN or password, or use the ‘Authorise by Signature’ option.

Once you do this, a timesheet will automatically be generated. It can be tracked and used for invoice reconciliation. You can even access the timesheet on the HCA website at any time.

Review Shift

First review the details of the shift and ask our staff to perform any necessary adjustments via the app. Once the details are accurate, you can then proceed to authorising the shift.

If you are a registered client user of eHCA, you can authorise the shift via PIN or password. To do this, select the ‘Authorise by PIN’ option. If you are not a registered client user of eHCA, you can still authorise shifts via the traditional signature method. To do this, select the ‘Authorise by Signature’ option.

 

Select your name

After you select the ‘Authorise by PIN’ option or ‘Authorise by Signature’ option, the app will ask you to select your name. If you are a registered eHCA client user, your name will automatically appear on the list for easy selection. If you are not a registered eHCA client user and have not authorised an electronic timesheet via signature recently, you only need to add your name to the list by tapping the ‘+’ button on the top right hand corner of the screen.

 

Sign or Pin

The last step in the authorisation process is to enter your PIN\Password if you selected to ‘Authorise by PIN’, or tap the ‘Sign’ option and sign the device using your finger or the soft end of the HCA stylus pen.

Once the authorisation has been submitted to HCA, a receipt screen will be displayed to confirm timesheet submission. At this point, we will automatically email you or your designated facility contact a copy of the authorised timesheet for tracking and invoice reconciliation purposes.
